The questions we hear most often from teams switching email providers.

Yes — keeping your existing addresses is the whole point. Whether you're on Gmail today or cPanel webmail or some inherited Exchange box, we move every mailbox across with the same address attached. Your colleagues, customers, and contacts won't notice anything changed.
Sent items, drafts, contacts, and folder structure all come across exactly as you left them. The only thing different on day one is which server handles your mail — and the only signal of that is your inbox loading slightly faster.
Nothing gets lost. During the sync phase we don't touch your DNS, so all incoming mail keeps flowing to your existing provider as normal — we're just reading from their server and copying across to ours, behind the scenes. You keep working.
At the cutover (always scheduled for off-peak hours, typically overnight or weekend), we flip your MX records. There's a small DNS propagation window — typically 5–15 minutes — where some mail might arrive at the old server and some at the new. That mail isn't lost: the old server forwards anything received during the window to the new one, and any mail sent during the switch sits in the sender's queue and delivers as soon as DNS settles.
We verify the cutover is clean before walking away — both servers checked, test mails sent in both directions, deliverability confirmed.
Almost never. If you can give us read/write access to your DNS host (Cloudflare, GoDaddy, your registrar's console — whatever you use), we handle the MX, SPF, DKIM, and DMARC records ourselves and confirm everything is propagating correctly.
If your DNS lives somewhere we can't access (a client's IT department, an old hosting account you've lost the login to), we send you a precise list of records to add. We verify each one after you've made the change and tell you if anything's wrong — no leaving you to guess whether you did it right.
Yes — all three tiers speak standard IMAP, POP3, and SMTP, so any email client made in the last twenty years works fine. We provide setup guides for the common ones: Outlook on Windows and Mac, Apple Mail, Thunderbird, iOS Mail, the Android Gmail app, Spark, and Newton. Most clients also support auto-discovery, so once your team enters their email and password, the rest configures itself.
Essential Plus adds the full Microsoft Outlook desktop apps (Windows + Mac), Outlook mobile, and Outlook on the web with shared calendars, Teams integration, and the rest of the Office stack — the genuine Microsoft experience rather than a third-party reskin.
The full Microsoft 365 Business Premium license. Specifically: Outlook (desktop on Windows and Mac, plus mobile and web), Microsoft Teams (chat, calls, meetings, screen sharing), 50 GB mailbox per user, 1 TB OneDrive per user, the full Office apps suite (Word, Excel, PowerPoint, OneNote — desktop and web), SharePoint, Microsoft Defender for Business, conditional access, mobile device management via Intune, and Microsoft's 99.9% service SLA.
There's no separate Microsoft contract to set up. We provision the tenant under your domain, hand you the admin keys, and provide ongoing support if anything breaks. The £15.10 covers the license plus our setup and support time. Ask about volume pricing for teams of 25 or more.
For Essential and Essential Pro, your mail sits on our UK servers in London — no data leaves the country by default. For Essential Plus, your Microsoft 365 tenant is provisioned in Microsoft's UK regions, again with data stored in the UK.
All three tiers are GDPR-compliant. We sign Data Processing Agreements where customers need them (typically businesses processing personal data on behalf of their own customers). Microsoft signs their own DPA directly with you for the Plus tier. We hold Cyber Essentials certification; Microsoft is ISO 27001, SOC 2 Type II, and HIPAA-compliant for the Plus stack.
